⚙️ New Infrastructure

PHP 8.3 Update

As part of our ongoing commitment to security and performance, our application has been upgraded to PHP 8.3.

This latest version includes critical security patches that protect against known vulnerabilities. Older versions (such as PHP 7.x or earlier PHP 8.x releases) may no longer receive active support or updates, increasing the risk of exposure. By staying current with PHP 8.3, we ensure a more secure and stable environment for all users.

As part of the PHP 8.3 upgrade, the issues listed below were addressed. Please note that you may not have encountered all of these issues in your previous version, but they are important to document for completeness.

Image Storage

All images uploaded and saved in memos or any rich text fields in xBit have been migrated from database storage to a file-based storage system.

🚀 New Features:

Distinguish the options of your badge color configuration for Dropdown and Single Choice field types.

Chain of Custody Bulk Actions

You can now add a chain of custody entry to multiple items at once. You can choose from the Intake, Exchange, and Final Disposal Authority Forms.

New Help menu

A new help menu has been added for quicker access the following resources:

  • Knowledge Base - View the documentation at docs.xbitdcm.com
  • Video Tutorials - View videos of major xBit features
  • Support Center – Open tickets, request on-prem migration assistance, and view support resources
  • Getting Started - View the articles that assist with getting xBit running and customized to your agency's needs
  • User Manual - View a pdf version of the documentation site

🐛 Bug Fixes

About / Settings

  • Fixed reCAPTCHA key setup not saving.

Active Directory

  • Resolved issue with disabled users whose email addresses included spaces or line breaks.

Agency Manager

  • Prevented users from removing the default agency.

Asset Manager

  • Fixed Asset Holder count to include viewers.

Case Dashboard

  • Fixed an issue preventing deletion of cases and evidence when at least one evidence item was present.

Case Manager

  • Fixed issue with downloading flat and stacked CSV files from Case Manager View.
  • Updated sorting icons so the selected icon matches the current ascending or descending sort order.

Chain of Custody

  • Fixed dropdown field responsiveness on tablet devices.
  • Improved tooltip responsiveness for better usability on tablet and other touch devices.
  • “Pre-fill > With logged-in user” now takes precedence over the previous custody receiver.

Expenses

  • Fixed issue preventing creation of expenses with empty notes.
  • Fixed loading issue when editing expenses where labor entries have no associated user.
  • Fixed reference exhibit link in the case expense view.
  • Fixed the Edit Expense form to display only enabled consumable types.

Forensic Tools

  • Fixed an issue where the migration of forensic software versions failed when version names contained special characters.
  • Fixed error when creating a forensic software entry with an empty note.
  • Fixed issue where non-admin users couldn’t view the Forensic Tools tab.

Groups / Users

  • Fixed new user creation to trigger only when clicking 'Save' or pressing the Enter key.

Lab Submission Manager

  • Fixed error when saving evidence with USSS and custody options enabled while SMTP is disabled.
  • Fixed evidence deletion failure in lab submissions with SMTP enabled.
  • Fixed issue preventing creation of evidence when Priority value is not provided.
  • Fixed toggle ON/OFF not working for Chain of Custody - Intake form in Form Builder.

New Case

  • Fixed an issue where the error message did not display when uploaded files exceeded the size limit.
  • Fixed creation of cases with invalid viewer or analyst permissions.
  • Fixed failure to save new barcodes.
  • Resolved issue causing case creation to fail if USSS Stats was disabled.

New Evidence

  • Fixed error causing disabled fields to display incorrectly in the form.

Report Builder

  • Enabled the entire “Add Field” button area to open the new field sidebar.
  • Fixed error when editing sections in the Template.
  • Fixed issue where copied templates would refresh unnecessarily.
  • Fixed issue where saving a section to the Content Library from a template failed.
  • Fixed issue where the preview template wouldn’t update properly if a section started with a page break.
  • Fixed printing of rows failing with only empty or short text.
  • Fixed issue with PNG images not displaying correctly in reports.
  • Improved report generation wait logic for better compatibility with slow servers.
  • Resolved Lab Submission Receipt failure due to edited reusable content.

Reports

  • Fixed an issue where zipped files included uploads that were not selected.
  • The Chain of Custody report template has been added to the default report generation (Word & PDF) to clearly distinguish between the person delivering and the person receiving the item.

Requests

  • Fixed failure to add requests containing evidence to workflow.
  • Fixed generation of Lab Submission Receipt.

Reviews

  • Changed the menu notification to count evidence items instead of reviews, ensuring the alert total matches the number of listed evidence.
  • Corrected “Assigned To Me” to display only reviews for the logged-in user.
  • Fixed issue where users couldn't unassign review requests when evidence is still assigned.
  • Made comment replies available regardless of evidence review status.

Stats Explorer

  • Fixed error when filtering Hours by user.
  • Fixed issue preventing CSV download.

Uploads

  • Fixed issue where the upload button was not disabled in read-only mode.
  • Integrated 'File Upload' field-type attachments with case uploads, allowing users to view all uploaded files in their respective Case or Evidence sections.

USSS Stats

  • Resolved faulty missing entry notifications and fixed download report button not working.

View Evidence

  • Fixed issue preventing deletion of evidence linked to request submissions and reviews.
  • Fixed issue where the Review Timeline tab was not loading.
  • Fixed responsiveness issues on tablet devices.

🌈 UI Changes

About / Settings

  • Removed the “New” badge from Evidence Reviews.

Agency Manager

  • Changed trash icon to power icon and updated “Deactive Agency” label to “Deactivate”.

Case Manager

  • Removed black borders from certain elements.

Chain of Custody

  • Added a button to generate a printable empty form for CoC entries.

Evidence Stats

  • Corrected typo in “No Evidence Stats available” message.

Lab Submission Manager

  • Improved SMTP notifications by bolding codes in new lab submission requests and external user login emails.

List Manager

  • Changed "Delete" action to "Deactivate" and updated the icon to a power button.

Memos

  • Removed bordered table wrapper around images pasted or dragged into rich text editor.

New Case

  • Moved USSS FPR fields under the Victim/Suspect form.

reCAPTCHA

  • Settings link now opens in a new tab, and the reCAPTCHA toggle has been moved to the top of the page.

Report Builder

  • Added unsaved changes warning when editing in the right sidebar.
  • Highlighted selected images with background color before report generation.
  • Skipped empty pages when generating report template thumbnails.

Reports

  • Added option to include all files or only selected ones in the report.

Reviews

  • Corrected max height setting for rich text editor within modals.
  • Removed the "Reviews Assigned to Me" notification description to avoid interference with the dropdown options.

Table View Builder

  • Differentiated icons for enabling and disabling sort, and added tooltips for sort and filter options.

USSS Stats

  • Adjusted layout to keep numbers aligned when values are large.
